Account Types: Arexian Hub supports two types of accounts: (1) Coach accounts that require administrator approval for access, and (2) Parent/Guardian accounts that receive automatic access when their email is registered by an approved coach during player registration. Coaches can create clubs or be invited to join existing clubs as members with specific roles and permissions, while parents have view-only access to their registered child's information.

Club Membership Model: The platform is organized around clubs, not individual coaches. Users can be members of multiple clubs simultaneously with different roles (Owner, Head Coach, Coach, Assistant Coach) and permissions in each. All data (players, events, payments, analytics, videos, messages) is scoped to specific clubs and completely isolated between clubs. When switching between clubs, users only see data for the currently selected club.

The platform provides sports coaching management tools and information. This information is not intended as a substitute for professional medical, legal, or financial advice. Always seek the advice of qualified professionals with any questions you may have regarding medical conditions, legal matters, or financial decisions.

Training videos uploaded by coaches are visible to the associated player's parents through their Parent Dashboard for transparency and progress tracking purposes. Coaches can add timestamped annotations to videos for personalized feedback. This manual annotation system is meant to assist in player development but should not replace in-person evaluation and professional coaching judgment.

While we implement industry-standard security measures to protect data, we cannot guarantee absolute security of data transmitted over the internet. Messages are secure and private, visible only to group members, and stored securely on the platform. Users are responsible for maintaining the confidentiality of their login credentials and for all activities that occur under their account.

Users must obtain appropriate consent from parents/guardians before collecting and storing personal information about minors (players under 18 years of age). Coaches and club administrators are responsible for complying with applicable data protection laws in their jurisdiction.

Access Control: Club owners and members with appropriate permissions control which parent emails are entered during player registration, automatically granting those parents access to view their child's data within that specific club including attendance rates, performance metrics with detailed match statistics (goals, assists, saves, tackles, fouls, cards, minutes played), uploaded training videos, and payment information. The platform administrator has oversight of all coach and parent accounts and can grant, modify, or revoke platform access as needed. Club owners control membership within their clubs and can invite, modify permissions for, or remove members. Parents should only access accounts linked to their own children.

Multi-Club Access: Users who are members of multiple clubs can switch between clubs using the club selector dropdown, and their permissions may differ in each club. Regular users only see clubs where they have active memberships (clubs they created or were invited to join). Admins can see and switch between all clubs in the system. Users are responsible for ensuring they perform actions in the correct club context. The platform provides club selection tools to prevent accidental cross-club data access, but users must verify they are working in the intended club before taking actions.

Club Visibility and Invitations: Club data and membership are private. Users cannot see or access clubs they are not members of, even if those clubs are active in the system. To grant access to a club, the club owner or an administrator must send an invitation through the Settings page, which creates a membership record for that user. Once invited and the invitation is accepted, the user will see that club in their club selector and can switch to it at any time.

Arexian Hub provides video upload and annotation features that allow coaches to add timestamped notes and feedback to training and match videos. These manual annotations (praise, corrections, tips) are provided by coaches and represent their professional opinions and observations.

Video annotations and feedback should not be the sole basis for making decisions about player development, team selection, or training programs. Human judgment, in-person evaluation, and professional coaching expertise should always take precedence. The platform provides tools for organizing and sharing feedback but does not verify the accuracy or appropriateness of coach annotations.

The payment tracking features on Arexian Hub are provided for convenience and record-keeping purposes only. The platform does NOT process payments or handle any financial transactions. Coaches create invoices and track payment status (pending/paid/overdue), while parents can view their payment status. Actual payment collection must be arranged outside the platform through bank transfers, cash, online payment services, or other methods you arrange with parents.

We are not responsible for any financial disputes between coaches and parents/players, non-payment of fees, or any financial losses incurred. Invoice generation and payment tracking tools do not constitute legal financial documents unless properly validated according to your local laws and regulations. Users are responsible for ensuring their financial practices comply with applicable tax laws and accounting standards.

The platform may contain links to third-party websites, services, or content that are not owned or controlled by Arexian Hub. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services.

Any videos, images, or files uploaded by users are their sole responsibility. Users must ensure they have the necessary rights, permissions, and consents to upload and share such content on the platform. Training videos uploaded by coaches for specific players will be visible to those players' registered parents through their Parent Dashboard. Coaches must obtain appropriate consent from parents before recording and uploading videos of minors.

In no event shall Arexian Hub, its directors, employees, partners, agents, suppliers, or affiliates be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from:

• Your access to or use of or inability to access or use the platform
• Any conduct or content of any third party on the platform
• Any content obtained from the platform
• Unauthorized access, use, or alteration of your transmissions or content

Arexian Hub operates on a club-centric model where users can be members of multiple clubs with different roles and permissions in each. Club owners are responsible for managing their club's membership, setting appropriate permissions, and ensuring proper use of the platform within their club.

We are not responsible for disputes between club members, unauthorized actions taken by members with excessive permissions, or misuse of club data by members. Club owners must carefully vet and assign appropriate permissions to each member they invite.

When a user is removed from a club or leaves voluntarily, they lose all access to that club's data. However, we do not guarantee complete data deletion, as club records may retain references to actions taken while the user was a member. Users should not share sensitive information they do not want preserved in club records.

Users of Arexian Hub are responsible for:

• Obtaining necessary permissions and consents before collecting player and parent information
• Ensuring the accuracy of information they input into the system
• Complying with all applicable local, state, and federal laws regarding youth sports, data protection, and privacy
• Maintaining appropriate insurance coverage for their coaching activities
• Properly supervising athletes and maintaining safe training environments
• Verifying the identity and qualifications of any club members they invite to their clubs
• Using the correct club context when performing actions, especially when they are members of multiple clubs
• Managing club memberships responsibly, including setting appropriate permissions for each member based on their role and trustworthiness
• Properly transferring club ownership if stepping down from a club they created
